Categories of Personal Information. Depending on your use of the System, the Information may include: contact and registration details submitted through the QR Code; support communications; venue, session and interaction information; camera recordings of users interacting with the System from a side-facing angle; technical data such as IP address, device identifiers, browser type, operating system and log data; cookie and analytics data; dialogue records between the user and the System; Uploaded Materials; prompts, requests, outputs or other materials processed through the System; and any other information that you choose to provide. If you are between the ages of 16 and 18, you may use the System only with the involvement and consent of your parent or legal guardian, who should review and agree to this Policy and the Terms of Use. You may not provide personal information about family members or other individuals, including minors, unless you have the authority and lawful basis to do so. If we become aware that personal information was collected from a minor in a manner inconsistent with this Policy or applicable law, we will take reasonable steps to delete or restrict that information, subject to legal, security and operational requirements.

Lawful Purposes and Legal Basis. We process Information only for lawful purposes connected to the System, including to provide, operate, maintain, secure, monitor and improve the System; provide the requested AI-powered concierge and travel-experience services; process Uploaded Materials as requested by users; retain dialogue history as described in this Policy; provide support; maintain security; prevent misuse; comply with legal obligations; enforce the Terms of Use; communicate administrative or service-related notices; and conduct analytics and product performance measurement. Where consent is required by applicable law, including for direct marketing, certain cookies, additional sensor or recording functionality, or sensitive information, we will seek consent in a clear, separate and granular manner and will allow withdrawal where required by law.

Cookies are small text files or similar technologies that may be stored or accessed when you use the website or other browser-based parts of the System. We may also use device, session, log or similar technical identifiers in connection with the physical installation or related services. These technologies help us provide core functionality, maintain security, remember settings where applicable, diagnose errors, measure performance and generate aggregated analytics. We do not use cookies or similar technologies to conduct additional personal-information collection that requires consent unless appropriate notice and consent are provided where required by applicable law.

Analytics and Advertising Technologies. Subject to your prior consent through the consent banner on our website, we may use Meta Pixel, Meta Conversions API and Google Analytics to measure website usage and performance, understand how users interact with the website, attribute conversions, assess the effectiveness of our advertising campaigns and improve our services. These technologies may process information such as IP address, device and browser information, cookie or similar identifiers, pages viewed, actions taken on the website, referral information and conversion events. Meta Conversions API may also transmit relevant event data from our servers to Meta. Meta and Google may process this information in accordance with their respective privacy policies and may act as independent controllers for certain processing activities. Meta Pixel, Meta Conversions API and Google Analytics will not be activated, and related non-essential information will not be collected or transmitted through them, unless and until you give your consent through the website’s consent banner. You may refuse or withdraw your consent at any time through the consent settings made available on the website, without affecting the lawfulness of processing carried out before withdrawal. Strictly necessary technologies may operate without consent where permitted by applicable law.

Cookie and Similar Technologies Notice. You may be able to control cookies through your browser or device settings; however, disabling certain cookies may affect the availability or functionality of the relevant website or browser-based features of the System. Where the System is provided through a physical installation rather than through your browser, cookie controls may not apply in the same way, and QUBEVISION may use operational logs or other technical measures as described in this Policy.

Database Registration or Notification. The Company will assess, and periodically reassess, whether any database for which it acts as database controller must be registered with, or notified to, the Israeli Privacy Protection Authority under the Protection of Privacy Law, 5741-1981, including Amendment 13 and applicable regulations. This assessment will take into account the categories of Information processed, the number of data subjects, whether the database is used for direct marketing or data brokerage, whether information of special sensitivity is processed, whether the Company acts as a database holder on behalf of another database controller, and any applicable threshold for registration, notification or exemption.

QUBEVISION, Venue and Customer Roles. Depending on the deployment and the relevant contractual arrangement, QUBEVISION may act as the database controller or as a database holder processing personal information on behalf of another database controller. A venue operator, customer or other organization may be the relevant database controller and may have separate responsibilities under applicable law. Where QUBEVISION acts as a database holder, it will process the information only in accordance with the applicable agreement, the database controller’s documented instructions, the purposes authorized by the database controller and applicable law, and will implement the confidentiality, access-control, security, assistance, return and deletion obligations required by the agreement and applicable law. This Policy describes QUBEVISION’s privacy practices and does not replace any privacy notice that must be provided by another database controller.

Data Protection Officer Assessment. The Company will assess, and periodically reassess, whether it is required to appoint a Data Protection Officer under applicable law. If the Company is required to appoint a Data Protection Officer, or voluntarily appoints one, the officer will advise the Company regarding privacy compliance, monitor implementation of privacy policies and procedures, serve as a contact point for privacy-related inquiries, and liaise with the Privacy Protection Authority where required.

We implement reasonable administrative, technical and organizational safeguards designed to protect Information, taking into account the nature of the Information, the purposes of processing, the risks involved, the System architecture and applicable legal requirements, including the Protection of Privacy Law, 5741-1981 and applicable data-security regulations.

However, no method of transmission, storage or processing is completely secure. We therefore cannot guarantee that Information will always remain completely private or secure.

Access to personal information is limited to employees, contractors and service providers who need access for authorized purposes and who are subject to confidentiality, security or contractual obligations. We review and update our safeguards from time to time in accordance with our legal obligations and operational needs.

Security Incidents. We maintain procedures designed to identify, assess, contain and respond to security incidents involving Information. If we become aware of a serious security incident involving Information, we will take reasonable steps to investigate and mitigate the incident and will notify the Israeli Privacy Protection Authority, affected individuals, customers, database owners, or other parties where required by applicable law.

Retention Periods. We retain Information only for as long as reasonably necessary for the purposes described in this Policy, unless a longer retention period is required or permitted by law. Dialogue records between users and the System may be retained for service operation, security, troubleshooting, abuse prevention, legal compliance and improvement of the System, subject to QUBEVISION’s retention procedures. Uploaded Materials and processed data will be deleted, anonymized or returned within a reasonable period following processing, expiration of the applicable session or service, or the last user interaction with the relevant materials, according to the nature of the System and QUBEVISION’s retention procedures, unless retention is required for security, legal compliance, dispute resolution, backup, audit, enforcement of the Terms of Use or legitimate business purposes. Technical logs, security records, maintenance and diagnostics records, support communications, billing records and legal records may be retained for different periods according to their purpose and applicable legal requirements.

Our Policy only addresses the use and disclosure of information that we collect from you or process in connection with the System. The Company may transfer Information that you provide to us, including relevant travel preferences, requests, itinerary details and contact information, to travel agencies and other travel-related providers where necessary to respond to your request, plan or arrange travel, obtain offers, make or facilitate reservations, or provide related services, subject to applicable law and any notice or consent required at the relevant point of collection. The System may also include or rely on third-party technologies, systems, services, content, websites or resources, including OpenAI or other AI-service providers, venue operators, booking providers, hotels, restaurants, attractions, transportation services and other third parties. We do not control the privacy policies or practices of third parties acting as independent database controllers, and your access to or use of their technologies, services, content, websites or resources may be subject to their own terms of use, privacy policies and other applicable terms.

We may merge with or be acquired by another business entity, or we may sell all or substantially all of our assets to an acquirer. In the event of such merger, acquisition, financing, reorganization, insolvency proceeding or sale of assets, we may share Information with the relevant acquiring, surviving or successor entity, advisers or transaction parties, where necessary for the transaction and subject to appropriate confidentiality and legal safeguards. If Information becomes subject to a materially different privacy policy, we will provide notice where required by applicable law.

You may request to review personal information about you that is held by us, and you may request that inaccurate, incomplete, unclear or outdated information be corrected or deleted, in each case subject to applicable law. You may also object to or request cessation of certain uses of your information, including direct marketing, where such rights apply. To submit a request, please email inbarm@qubevision.ai and provide sufficient information to allow us to identify you and process the request. We may ask for additional information to verify your identity. We will respond within the period required by applicable law. Where a request is unfounded, excessive, repetitive, technically impracticable, or subject to a legal exception, we may refuse the request or charge a reasonable administrative fee, to the extent permitted by law.

You may request deletion of personal information about you, or request that we cease using such information, in each case subject to applicable law. We may decline a request, or retain certain information, where retention or continued processing is required or permitted for legal compliance, security, fraud prevention, dispute resolution, audit, backup, enforcement of the Terms of Use, protection of rights, or other legitimate purposes recognized by applicable law. Third parties that process information independently may have their own deletion and retention practices.

If we approve and complete a deletion request, the deletion may be irreversible with respect to information removed from active systems. However, copies may remain for a limited period in backups, logs or records where retention is required or permitted by applicable law or for security, continuity, audit or legal purposes.

To request deletion of your personal information, contact inbarm@qubevision.ai and provide sufficient information to identify your account and verify your identity. We recommend that you do not send sensitive identification documents unless we specifically request them through a secure channel.
